Before the Lease

Provide you with all necessary documentation, including:

Selecting Tenants

We’re doing our best to find responsible tenants. We aim to minimize financial and maintenance risks through our comprehensive selection process. We find the resident who will take care of your property instead of approving the first person who applies for a tenancy. As part of the process, we:

– Screen tenant inquiries
– Schedule and advertise open home times
– Arrange alternative inspections outside of normal business hours
– Give prospective tenants a tour of the property and answer any questions
– Perform 100-point ID check on applicants
– Review employment, personal, and prior landlord references
– Search the National Tenancy Database
– Update you when we find a good candidate
– Obtain holding deposits from approved tenants
– Remove advertising materials from the web once the property is no longer on the market
– Place a “Leased By” overlay on your property sign

You make the final decision among potential tenants as the property owner. Our job is simply to find and present the best options available, taking all the effort and guesswork out of the tenant selection process.

 

Preparation for Tenants

Before a tenant moves in, we will provide them with a New Tenant Pack that outlines their responsibilities and our policies. This packet includes:

– A confirmation of tenancy letter
– A checklist from the Office of Fair Trading
– Direct Debit instructions
– Copies of the Residential Tenancy Agreement, as issued by the Real Estate Institute of NSW, with important clauses highlighted
– Change of Address to Vote forms
– Contents Insurance information
– Fair Trading information about smoke alarms
– Online Bond Lodgement information
– Key Allocation form
– Any special conditions that have added to their lease
– Arrange professional cleaning, lawn and garden maintenance, smoke alarm compliance, plumbing, pool and spa maintenance
– Enter all tenancy details into our rental management system
– Conduct an extensive inspection of the property prior to each new tenant
– Obtain the water meter reading to ensure the tenant’s water bills are calculated correctly
– Compile a detailed photographic file on each property
– Ensure that the property adheres to water compliance regulations, pool ownership requirements, and smoke alarm regulations
– Book a brief appointment for the tenants to sign and initial each page of their leases and all necessary paperwork, ensuring that they understand their responsibilities and know our expectations
– Take photocopies of all tenant keys
– Send copies of the lease, initial inspection, and all relevant documents to you

 

During Tenancy

We also perform many essential tasks after your tenants have successfully moved in, including:

– Follow up after one week with the tenant to address any issues and ensure that the telephone, electricity and internet have been set up successfully
– Monitor rent payments and issue receipts to ensure tenant ledgers are correct
– Receive all water bills, land rates from the Council and/or property owner
– Process all bills for payment to Council
– Provide individual water invoices and manage overdue payments
– Receipt of all land rates from the Council and/or landlord
– Schedule, conduct, and send reports on routine inspections
– Inform you of necessary maintenance and repairs and schedule appointments with tradespeople
– Process all invoices
– Issue all end-of-month statements to landlords and trades people
– Conduct Regular Market Rent Reviews to maximise rent returns
– Attend the NSW Civil & Administrative Tribunal if required
– Communicate regularly with you after the move-in, throughout the tenancy, and prior to the lease expiry

 

End of Lease

When the time comes for your client to vacate, we have you covered:

– Send renewal letters to remind tenants of the expiry of their lease and determine whether they intend to vacate
– Communicate with you immediately if a tenant plans to move out
– Provide tenants with a guide to vacating, Bond Saver Checklist, and copy of their in-going inspection to set standards for property condition
– List the property for rent and update advertising materials
– Conducting an inspection
– Read water meter and calculate final water bill
– Arrange cleaning, repairs, and maintenance
– Account for necessary deductions
– Complete the Bond Refund Form and send to the Bond Board
– Remove tenant information from property file

 

Accounts and Reporting

We also offer a range of accounting services:

– Provide monthly statements
– Deposit automatic payments directly to your bank account
– Collect and pay of outgoings (water consumption, rates, etc.)
– Provide a detailed End Of Financial Year Reporting Statement, plus an Income And Expenditure Report
– Facilitate Owners Online Portal access, giving you round-the-clock access to all reporting
